Reserve A Room

Forsyth County Public Library offers a variety of free rooms for public use to current Library cardholders:

  • Meeting Rooms - Large groups, occupancy varies by branch
  • Study Rooms - Up to 4 people, available at all branches
  • Large Study Room - Up to 8 people, available at Sharon Forks Library only
  • Conference Rooms - Up to 20 people, available at Sharon Forks Library only

The following actions may result in the restriction of future use of the library’s rooms:

  • Repeated no-shows
  • Failure of Library cardholder who reserved the room to remain in the room for the duration of the reservation
  • Failure to follow check-in and check-out procedures
  • Failure to adhere to FCPL’s Patron Behavior Policy
  • Failure to adhere to FCPL’s Rooms for Public Use Policy

Rooms Descriptions

      • The Library offers the use of meeting rooms by non-profit or not-for-profit organizations and government or public education agencies for activities of a civic, cultural, or educational nature that are consistent with the Library’s mission.
      • Meeting rooms are not available for purely social purposes, or for the benefit of private individuals or commercial concerns.
      • The Library’s meeting rooms may be reserved up to 60 days in advance. 
      • Meeting Room reservation approval is not automatic. Please allow up to 3 business days for approval.
      • Regular meeting times are not guaranteed.
      • If you arrive more than 30 minutes late for your reservation, the room is subject to being released for use by others.

      • Suitable for individuals or a maximum of 4 people. 
      • A large study room suitable for a maximum of 8 people is available at Sharon Forks Library.
      • Patrons may reserve a study room up to 3 days in advance for a maximum of 2 hours per day at a time.
      • If you arrive more than 15 minutes late for your reservation, the room is subject to being released for use by others.

      • Full Conference Room suitable for a maximum of 20 people; half of the Conference Room is suitable for a maximum of 10 people.
      • The Library offers the use of conference rooms by non-profit or not-for-profit organizations and government or public education agencies for activities of a civic, cultural, or educational nature that are consistent with the Library’s mission. 
      • Conference rooms are not available for purely social purposes, or for the benefit of private individuals or commercial concerns.
      • The Library’s conference rooms may be reserved up to 60 days in advance. 
      • Groups may request the use of conference room space up to 8 times per calendar month.
      • Conference Room reservation approval is not automatic. Please allow up to 3 business days for approval.
      • Regular meeting times are not guaranteed.
      • The conference room furniture is stationary, and the room cannot be reconfigured.
      • If you arrive more than 30 minutes late for your reservation, the room is subject to being released for use by others.

To reserve a room, patrons must agree to the following:

Terms and Conditions 

  • Use of rooms does not constitute the Library's endorsement of that group's credentials, policies, or beliefs. 
  • Rooms may not be used for the exchange, buying, selling, or promotion of goods or services with the intent of financial gain. 
  • Rooms may be reserved only by community groups and organizations. 
  • Scheduled events may be pre-empted in the event of elections. 
  • Meetings, including setup, must be held during the Library’s open hours and end by the Library's closing time. 
  • Staff reserve the right to enter the rooms at any time. 
  • The Library may immediately terminate room activity and refuse future reservations if the group does not follow all rules. 
  • At least 24 hours’ notice should be provided if you need to cancel your reservations.

Reservation Requirements

  • The cardholder responsible for the reservation must check in and check out at the Ask Us Desk. 
  • An FCPL cardholder must serve as the group contact, who will be responsible for the organization's activities, including costs to repair damage incurred during use by the group. 
  • Room reservations are not transferable from one group to another. 
  • Meeting rooms may be reserved up to two times per calendar month, across all FCPL locations. Conference rooms may be reserved up to eight times per calendar month. 

Behavior Policies

  • Room activities must not interfere with or be disruptive to regular library operations. 
  • Attendance must not exceed posted capacity of the rooms. 
  • Youth organizations must have one adult present for every 10 children under age 13 present.
  • All groups must enter and exit through the main entrance of the library. 
  • Storage of supplies or equipment belonging to the room users is not permitted.
  • Furniture may not be moved in or out of rooms. 
  • Nothing may be attached to walls, ceilings, doors, or furniture of any of the rooms. 
  • No signs promoting a room activity may be placed on Library property. 

Food and Beverage Guidelines

  • FCPL is tobacco-free and smoke-free. E-cigarettes are also prohibited. 
  • No alcoholic beverages are allowed. 
  • Light refreshments are permitted. Food and beverages must be approved in advance.
